Delete or archive a repeating data instance in CDMS

Learn how to delete or archive repeating data instances, with step-by-step instructions.
How to delete a repeating data instance
You can only delete a repeating data instance if your study has not yet been set to Live.
- In the Participant Overview, go to the Repeating Data tab.
- Click the context menu (three dots) next to the repeating data instance you want to delete.
- Choose ‘Delete’ from the options.
- A dialog will pop up asking for a reason for deletion. Enter the reason and click ‘Delete instance’ to confirm and delete.
If your study has been set to ‘Live’, you cannot delete a repeating data instance. Instead, you can archive it.
How to archive a repeating data instance
- In the Participant Overview, go to the Repeating Data tab.
- Click the context menu (three dots) next to the repeating data instance you want to archive.
- Select ‘Archive’ from the list.
- A dialog will appear asking for a reason for archiving. Enter the reason and click ‘Archive instance’ to confirm.
Archived repeating data instances will:
- Not appear in your data overview.
- Not be exported.
- Be viewable only by selecting ‘Archived’ status in the ‘Filter’ menu.
Unarchive repeating data instances
If you need to restore an archived instance:
- Click the ‘Filters’ button.
- In the right panel, select ‘Archived’ and click ‘Apply’.
- The archived instances will now appear.
To unarchive:
- Click the context menu (three dots) next to the archived instance.
- Choose ‘Unarchive’.
The repeating data instance will:
- Be restored to the study.
- Appear in the Repeating Data tab for the associated participant ID.
- Be exported with other data.
