Once a Castor eConsent study has been created both study team members (Users) and Subjects can be invited to join the study, register, and gain access. The below article will describe the steps to register and gain access for Study team members and Subjects.
Study team member registration and eConsent access.
When a study team member is added to a study, the team member will receive an email invitation to the email address added by the site admin.
By clicking the ‘Join the Study’ link provided in the email, the study team member will be directed to the registration page to register their account. The study team member will need to accept the Terms of Use and provide the following details when registering the account:
- First name
- Last name
- Email will be automatically pre-filled
- Create password
After filling out the details and accepting the Terms of Use, click on the ‘Sign up’ button to complete the registration.
Should the study team member already have an account registered in eConsent they will be directed to the eConsent login page where they can log in with their eConsent credentials.
Once logged in, the study team member can then accept the invitation to the study. Once accepted they will be able to enter the eConsent Study by clicking on the study row.
Troubleshooting
If a study team member or subject have been invited to a study, but has never received an invitation email, it is advised to consider the following scenarios:
- The email was sent to the recipient's spam folder. If an invitation email is found in the spam or junk folder, the recipient should move the email out of the spam folder and into their main inbox. In some cases, unmarking or moving this email to the primary inbox will indicate to the mail client that a study team member would like to receive these emails in the future.
- The email is filtered by the security filter of the recipient's server and is in the quarantine area before it could be released into the recipient's inbox. Some institutions have very strict emailing policies, adding the address from which the invitation emails are sent (noreply@auth.castorconsent.com) as a safe email address should help resolve this.
- An incorrect email address was entered. Please make sure that the email address is correct.
- If after attempting the troubleshooting steps, the recipient is still not able to activate their account and access the study, please send a request to support@castoredc.com with the name of the study and user email.
